Deputy Lodge Manager
Oxford - OX1
Salary: £35,000 - £37,500 per annum (dependent on experience)
Hours: 40 hours per week, including occasional weekends and bank holiday cover.

An exciting opportunity has arisen for an experienced and professional Deputy Lodge Manager to join a busy Oxford college Lodge team. This is a key front-of-house and operational role, supporting the Lodge Manager in delivering a safe, welcoming and well-organised environment for students, staff, fellows, guests and visitors.
You will play a central role in day-to-day Lodge operations, staff supervision, security, health and safety, and customer service, acting as a first point of contact for a wide range of stakeholders.

Key Responsibilities for the Deputy Lodge Manager
Front of House & Customer Service
- Promote a positive and professional perception of the College at all times
- Act as Lodge receptionist and main point of contact
- Handle telephone calls to the main switchboard in a warm and professional manner
- Coordinate on-site parking for guests and fellows
- Act sensitively to the needs and welfare of the student body
Lodge Operations & Administration
- Supervise Lodge logistics, including parcel and post delivery
- Ensure the Lodge remains clean, organised and well-presented
- Monitor the Lodge email account
- Manage student check-ins and check-outs across both sites
- Act as an information hub, communicating relevant information across departments
- Ensure Salto access systems are regularly updated
Supporting the Lodge Manager
- Deputise for the Lodge Manager when required and attend meetings as requested
- Assist with staff planning, supervision of casual staff and staff matters
- Support recruitment, including assisting with first interviews for Porters
- Assist in maintaining a safe and secure environment
- Supervise monthly stock takes of College merchandise and report findings
- Attend weekly meetings with the Rectory Road Caretaker
- Participate in on-call duties as required
- Assist with staff inductions
Health, Safety, Fire & Security
- Act as first response to intruder and fire alarms
- Carry out and oversee daily security patrols
- Monitor and log CCTV activity in line with procedures
- Produce written incident reports and ensure accurate logging
- Issue keys and fobs in accordance with College procedures
- Support student discipline in conjunction with Junior Deans
- Supervise weekly fire point testing and termly evacuations
- Oversee fire check sheets and night patrol records
- Support out-of-hours maintenance assessments with the Works team
- Complete termly key stock takes
- Supervise monthly first aid kit audits
- Ensure contractors comply with site safety requirements, including wearing hi-vis
- Maintain up-to-date knowledge of Salto access systems
Person Specification
Essential
- Experience in a front-of-house, reception or customer-facing role
- Proven ability to deliver excellent customer service
- Experience managing challenging situations calmly and sensitively
- Strong relationship-building skills with a diverse range of stakeholders
- Experience of supervising and motivating staff (Team of 14)
- Ability to work independently and as part of a team
- Excellent verbal and written communication skills
- Experience in service planning and procedure development
- Strong administrative and IT skills, including MS Office
- Understanding of GDPR and data protection requirements
- Educated to A-Level standard, NVQ Level 3 or equivalent
- First Aid and Fire Marshal qualification (or willingness to train)
- Willingness to undertake role-specific training
- Satisfactory Disclosure and Barring Service (DBS) check
Desirable
- Experience in a Lodge or porter-style role within Colleges
- Understanding of the collegiate system
- Basic knowledge of fire regulations and/or health and safety
