Personal Assistant to Managing Director - Hotel group
We are seeking an experienced and highly organized Personal Assistant to support this hotel group Managing Director.
Role Overview: As the Personal Assistant to the Managing Director, you will play a critical role in ensuring the smooth operation of our executive office. This position requires a proactive individual with a background in the hospitality industry, specifically in hotel management. Your ability to manage complex schedules, communicate effectively, and handle sensitive information with discretion will be key to your success in this role.
Key Responsibilities:
- Provide comprehensive administrative support to the Managing Director, including diary management, travel arrangements, and meeting coordination.
- Act as the primary point of contact between the Managing Director and internal/external stakeholders.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Assist in the preparation of board meetings, including agenda setting and minute taking.
- Manage and prioritize incoming communications, ensuring that all inquiries are addressed in a timely and efficient manner.
- Oversee special projects and initiatives as directed by the Managing Director.
- Maintain confidentiality and handle sensitive information with the utmost discretion.
- Coordinate with various departments within the hotel group to ensure seamless communication and operations.
Qualifications and Experience:
- Minimum of 3 years' experience as a Personal Assistant, with at least 2 years in the hotel or hospitality industry.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- A proactive approach with the ability to anticipate the needs of the Managing Director.
- Flexibility and adaptability to changing priorities and demands.
- Professionalism and discretion in dealing with confidential matters.
